We are fast growing company in Horeca industry looking for a full time an Office Administrator based at our office in Brussels.

Responsibilities:

General Administrative Support:

  • Perform day-to-day administrative tasks, such as managing calendars, scheduling appointments, and coordinating meetings.
  • Answer phone calls, respond to emails, and handle correspondence, ensuring prompt and professional communication.
  • Maintain and update company records, documents, and databases.
  • Assist in the preparation of reports, presentations, and other business documents as needed.
  • Order and maintain office supplies and equipment, ensuring availability and functionality.

Data Management and Organization:

  • Collect, organize, and maintain data and records, ensuring accuracy and confidentiality.
  • Prepare and process documents, such as invoices, purchase orders, and expense reports.
  • Manage filing systems, both electronic and physical, to ensure easy retrieval and efficient record keeping.

Office Management:

  • Welcome and assist visitors, ensuring a professional and friendly atmosphere.
  • Monitor and maintain office supplies, equipment, and facilities, coordinating repairs and maintenance as needed.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist with the onboarding of new employees, including coordinating orientation and setting up workstations.

Qualifications:

  • Proven experience as an administrative assistant or in a similar role.
  • French language is a must, English is a big plus.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong attention to detail and accuracy in data management and record keeping.
  • Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (printers, scanners, etc.).
  • Exceptional communication skills, both verbal and written, with a professional and friendly demeanor.
  • Ability to work independently as well as collaboratively in a team environment.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Discretion and respect for confidentiality when handling sensitive information.
